The SignOn Link feature eliminates the need for users to log in with their network name and assigned username/password. Admins can create SignOn Links for new or existing users on a network and then send the link to users via email or SMS text. When the user clicks on the SignOn Link, they are automatically logged in without providing any login credentials.
SignOn Links are optional and do not affect the standard login in any way. Users can still manually sign in by entering their network name, username, and password.
A QR code is also available if the Admin is installing ZelloWork onto a device directly. When the QR code is scanned, ZelloWork automatically installs on the device and logs the user into the network.
For security purposes, SignOn Links are only valid for 48 hours from the time of creation. However, this setting can be modified through the Management Console by going to Settings>Common>Expiration time for SignOn Links.
NOTE:
- Users must have Zello Android app 3.106+ or Zello iOS 3.55+
- Zello must already be installed on the user's device in order for the link to work
- Links can be used multiple times during the 48-hour period
- Links can be generated multiple times.
There are three ways to create SignOn Links:
- When you are adding a new user to the network
- From the User Details screen for an existing user
- Mass produce SignOn Links when importing users.
Creating a SignOn Link when adding a new user
- From the Management Console, select +New from the taskbar. Select New User from the drop-down menu
- Fill in the user account details and select Create User
- On the next screen, select to send a SignOn link to the user's email or SMS OR scan the QR code onto the device directly
- Click Done to send the SignOn link or complete installation on the device.
Creating a SignOn Link for an existing user
You can create SignOn Links for existing users by going to their User Details screen.
- From the Management Console, select Users from the taskbar
- Select the user you want to create a SignOn Link for. In this example, the username is "User1".
- Click on Get SignOn Link from the User's Details screen
- On the next screen, select to send a SignOn link to the user's email or SMS OR scan the QR code onto the device directly
- In the following example, a SignOn Link will be sent to an employee with the email "tedsmith@mycompany59.com". When the employee receives the email and clicks on the link from his device, he will automatically be logged into the "mycompany59" network with his username "User1" and the password
- Select Done to send the SignOn Link or complete installation on the device.
Mass producing SignOn Links when importing users
If you are adding many users at one time using the Import Users feature, you can also create and send out SignOn Links for these users by adding a column named signon_send_to to your CSV file. The column can contain the user's email address and/or phone number for SMS texting. If both values are used, separate them with a semi-colon.
Troubleshooting SignOn Link and QR code problems
These are common problems with SignOn Links and their solutions:
1. Problem: User did not receive an email with the link:
Solution: Have the user check his spam folder. Verify and resend. If there are still issues, consult your IT team, as your email server may be blocking the email.
2. Problem: User did not receive an SMS text:
Solution: Please verify the user is able to receive SMS text messages.
3. Problem: The QR code does not install ZelloWork onto the device:
Solution: We recommend you use the built-in Zello scanner. If you use another app to scan the code, you will be prompted to open a browser and receive a SignOn link instead.
