Assigning Tags to Sub-Admins

Sub-admins can manage a subset of users or channels that share their assigned tags. Primary or secondary (if network configurations allow) admins assign these tags, as well as determine the level of access to the management console the sub-admin has. Levels of access to the management console include: 

  • Full access: allows the admin to manage users and channels, as well as view the Map and Analytics tabs
  • Access to Maps tab: allows the sub-admin to see users on the map
  • Access to Analytics tab: allows sub-admin to view network analytics

Please note that sub-admins cannot access the History tab at this time. Learn more about admin permissions.

Using tags to assign a Sub-Admin

The more tags a sub-admin is assigned, the narrower the pool of users they have administrative power over. For example, if a sub-admin has one tag assigned to them—let’s say the tag “ATX”—all users or channels tagged with ATX will be displayed in the sub-admin's management console. If they have two tags assigned, however—for example, “ATX” and “Emergency”—only users and channels with both tags will appear in the sub-admin’s management console. 

In addition to channels and users, tags are often used to identify and group users into categories such as shifts, teams, and locations. 

Step 1: Enable tags for the network

Prior to assigning a sub-admin's permissions, primary or secondary admins should enable tags for their network via the Settings tab in the management console. 

  1. Sign in to the management console at (yournetworkname).zellowork.com.

  2. From the taskbar, click Settings

  3. Select Web Console from the right-hand menu. 

  4. Toggle on the “Use Tags for Sub-Admin access” setting. 

  5. Click Save and Apply when done.

Step 2: Assign sub-admins 

Once tags have been enabled for your network, follow the steps below to assign a sub-admin’s tags. This will determine who the sub-admin manages through the console. 

  1. Select Users from the management console’s taskbar. 

  2. From the users list, select the individual you’d like to assign as a sub-admin. 

  3. Under the User Settings section, click the “Web Console Access” drop down. Assign the user the desired access permissions.

Please note: Sub-admins cannot access the History tab, even if full access is granted at this step. Only primary and secondary admins can access this. Otherwise, the sub-admin's permissions include:

- Full access: allows the admin to manage users and channels, as well as view the Map and Analytics tabs
- Access to Maps tab: allows the sub-admin to see users on the map
- Access to Analytics tab: Allows the sub-admin to view network analytics

  1. Under the User Details section, click the green + icon. Add the intended tags you’d like this sub-admin to manage by either selecting existing tags or adding new tags via a comma-separated list. When done, click Continue.

Adding tags to users

Add tags to users you’d like the new sub-admin to manage. 

  1. Select the Users tab from the management console’s taskbar. 
  2. Click the checkbox next to the users you’d like to add to the tag in question. 
  3. Click the + Add tag(s) button to create and/or assign tags for the selected users. If you’d like the recently-created sub-admin to manage these users, select the tag you assigned that sub-admin from the list. Click Continue.

Adding tags to channels 

Admins — assign tags to channels you’d like specific sub-admins to manage. 

Please note that user tags aren’t related to channel tags for end users; you’ll still need to add users to their intended channels. Additionally, any channels created by the sub-admin will automatically be assigned the sub-admin's associated tags. 

  1. From the management console’s taskbar, select Channels. Click the boxes next to the channels you’d like to assign tags, and click +Add tag(s).

    All admins assigned the chosen combination of tags will have access to these channels’ settings and configurations.
